The offer

What does a VenueWebStudio site actually include?

A room-by-room site built around your floor plans, capacity, packages and availability, on The Walkthrough, Booked Solid or Every Season. Every plan includes managed hosting, 5 revisions a month, 2 to 3 researched articles a week depending on tier, and a floor plan and capacity switcher for your rooms. The $697 one-time build fee is invoiced only after your site is live and approved.

How long until our venue site is live?

7 days on The Walkthrough, 10 on Booked Solid while the AI agents are trained on your rooms and policies, and 15 on Every Season with the content engine running from launch. The clock starts once your onboarding call is done, so the sooner your floor plans and photos are in, the sooner the room pages go live.

Can the site handle more than one property or more than one hall on the same property?

Yes. Multiple rooms, halls or properties each get their own page with their own floor plan, capacity figures and photos, and the mega menu and site structure are built to carry that many pages without turning into a maze. Tell us your room count during onboarding so it is planned into the build from the start.

Getting started

What happens right after we sign up?

You fill in the onboarding form, which asks for your rooms, capacities, packages, photos, brand details and where inquiries should land. It takes about 15 minutes. Anything you do not have to hand, such as a finished floor plan, can follow later by email or as a ticket in your client portal without holding up the build. One onboarding call then fills any gaps and sets the launch date.

Do we need finished floor plans before we start?

No. A rough sketch, an existing PDF from an architect, or even room dimensions are enough to start the floor plan and capacity switcher. We build the inline diagrams from what you provide and refine them once your real capacity figures are confirmed, so a missing final plan never delays the rest of the site.

Revisions and the client portal

What counts as one revision?

Any change request you send counts as one revision, with no limit on how much goes into it. Adding a new room page, updating a package price, swapping out a season of photos, or changing the accent color are each one revision, and so is something larger, such as "add pages for our two new outdoor spaces, here are the photos and dimensions for both." 5 are included every month, then each additional one is a flat $20 with no hourly billing, completed within 2 to 5 working days.

How do we ask for a change once the site is live?

Everything runs through your client portal, which you get the day the site launches. You describe the change there, attach anything we need such as new photos or updated capacity figures, and it is tracked so you can see progress. Email works too, and we log it into the portal for you. Unused revisions do not carry over to the next month.

Articles

What do the weekly articles cover for a venue?

Topics a couple or a planner is actually searching for when comparing venues: seasonal booking guides, layout comparisons, questions to ask before touring a space, and articles specific to the areas you serve. The Walkthrough and Booked Solid include 2 a week, and Every Season includes 3, each 2,500 to 3,200 words.

Do we get to review an article before it publishes?

Yes. Every article is researched, drafted and sent to your client portal before it goes live, so you can request a change the same way you would for any other revision. Nothing about your venue is published without you seeing it first.

The AI Engine

What can the AI Engine actually answer for us?

Common questions such as whether a date is worth inquiring about, what a package includes, or what capacity a room holds in a given layout, all trained on your real rooms and policies rather than a generic script. It captures the details of any genuine inquiry that comes in outside business hours so nothing waits until Monday, and it hands off rather than guessing when a question needs a person.

Will the AI Engine ever give advice about our venue license or capacity limits?

No. It is configured never to give licensing, fire-safety or capacity-compliance advice, and never to state a firm capacity figure as fact beyond what you have confirmed. Anything of that nature is handed to a person at your venue. The AI Engine is included on Booked Solid and Every Season.

Hosting and management

Is hosting billed separately from the monthly plan?

No. Hosting is included in the monthly fee and never billed on its own. Your site runs on a global network with SSL, a content delivery network, DDoS protection and unmetered bandwidth included, so a busy engagement season with a spike in visitors never produces a surprise invoice.

Who manages the site day to day?

We do. You never log in to the site itself to fix anything. Updates, photo swaps, new room pages and article publishing all happen on our side once you have raised the request in your client portal, so nobody at your venue needs to learn a content management system.

Domains

Do we need to buy a domain?

No. One domain is included free for as long as your plan is active, registered in your name so you own it outright. If you already have a domain, we point it at the new site instead and nothing changes for anyone who already knows your web address.

What happens to our domain if we ever leave?

We transfer it to you at no charge. Tell us where to send it and we handle the transfer, since it was registered in your name from the start rather than ours.

Moving from your current site

We already have a website. What happens to it?

We review what is worth keeping, most often room photos, past floor plans and any pages already ranking in search, and rebuild the site around your rooms and packages rather than starting from nothing. Old URLs that carry search ranking are redirected to their new pages so that value is not lost during the move.

Can we move off a page-builder or directory listing onto a real site?

Yes, and it is one of the more common reasons a venue switches to us. A directory listing or page-builder template cannot carry a floor plan and capacity switcher, a dedicated page per room, or researched weekly articles. We rebuild the content you already have into a faster, more specific site and set up the redirects so search visibility carries over.

Billing and cancellation

What do we pay, and when does the build fee get charged?

The monthly fee for your tier is paid up front: $127, $267 plus AI usage, or $647 a month. The $697 one-time build fee is invoiced only after your site is live and you have approved it, never before.

How do we cancel, and how much notice is needed?

Email us saying you want to cancel, and the message must reach us at least 2 business days before your next invoice date, during business hours of 9:00 to 17:00 Central, Monday to Friday. A message sent outside those hours counts from the start of the next business day, so a weekend email does not give 2 business days of notice for an invoice due Monday or Tuesday. With valid notice, no further invoice is raised and your site runs through the end of the paid month.

Do you offer refunds?

No. All sales are final, including monthly fees, the build fee, extra revisions and any pass-through cost charged at what our providers charge us. The one exception is a duplicate or incorrect charge from our billing, which we correct within 10 working days of you telling us within 30 days. The build fee is charged only after you have approved your live site, which is exactly why it is not refundable afterward.

What is the client portal, and when do we get access?

It is your account with us, available the day your site goes live. From it you request revisions, raise a support ticket, send us files such as new photos or updated floor plans, and message our team directly. Everything about your site runs through the portal so nothing gets lost in an inbox.
